AquaCRM Privacy Policy

AquaCRM is business software used by water treatment dealerships ("dealers") to manage their own customer relationships. This policy explains what the AquaCRM apps and website collect and how it is used. AquaCRM is operated by Elegant Basics LLC, Enterprise, Alabama.

Who the data belongs to

Each dealer's data (leads, customers, appointments, work records) is stored in that dealer's own isolated database. AquaCRM processes this data on the dealer's behalf; the dealer is the data controller for their business records.

What we collect

• Account information — your name, work email address, and login credentials, used to sign you in and control what you can access.
• Business records — CRM data your dealership enters (customer names, contact details, appointments, service history). This data is entered and owned by your dealership.
• Location — precise location, including in the background, for field staff (technicians, installers, sales reps) during working hours and active jobs, so the office can see arrival status and dispatch work. The app asks for your consent on its own screen before iOS asks for location permission, and you can turn location off at any time in iOS Settings.
• Photos and camera — photos you take or choose (for example water-test, equipment, and job-site photos) to attach to customer records. The app only accesses the camera or photo library when you use those features.
• Microphone and calls — the microphone is used for phone calls you place or answer in the app. Your dealership may record business calls for quality and training; the dealership controls whether recording is on.
• Messages — text messages and notes you send or record about customers are stored with your dealership's records.
• Payments — when your dealership enables card payments, card data is read and processed by our payment processor (Square), including through Tap to Pay on iPhone. AquaCRM stores the payment record (amount, date, status) but does not store full card numbers.
• Device and notification identifiers — a push-notification token and an app user ID, used to deliver notifications and alerts to your device.
• Bluetooth — used only to connect to a card reader when your dealership uses one.
• Diagnostics — crash reports and basic app performance data, used only to fix problems.

None of this data is used to track you across other companies' apps or websites, and none of it is used for advertising.

What we do NOT do

• We do not sell personal data.
• We do not share one dealer's data with any other dealer.
• We do not use CRM data for advertising.

Text messages (SMS)

Users of our software can choose to receive operational text alerts (for example, store labor, inventory, and system-status alerts) by adding their mobile number in the app and selecting which alerts they want. Customers of dealerships using AquaCRM, including Lowe's customers served by us as an authorized Lowe's Services provider, may receive appointment and service text messages (SMS, MMS or RCS), such as confirmations, reminders and technician on-the-way notices, after agreeing to receive them. Mobile numbers are used only to send the messages you agreed to receive. We do not sell or rent mobile numbers.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers (such as our messaging carrier) that deliver the messages on our behalf.

Data retention and deletion

Business records are retained while the dealership's subscription is active. Dealers may request export or deletion of their data at any time via the contact below.

Security

Data is encrypted in transit (HTTPS/TLS). Each dealership's data lives in its own database with row-level access controls tied to your login.
